Email & calendar
Productivity integrations bring email and calendar into Ask (Google Suite, Outlook, multi-calendar support) so agents can help you triage your inbox and find time on your week.
Prerequisites
- A work account on Google Workspace or Microsoft 365.
- Permission from your admin to connect external accounts. Some orgs gate this.
What's available
The Productivity Integrations initiative ships email and calendar connectors. The roadmap covers:
- Google Suite: Gmail, Google Calendar.
- Outlook: mail and calendar via Microsoft 365.
- Multi-calendar: read across multiple calendars to suggest meeting times, detect conflicts, summarise your week.
Exactly which connectors appear in your instance depends on what your admins have enabled.
Connect a productivity tool
-
Open Tools from the sidebar.
-
Filter by the Productivity & Communication chip.
-
Find the connector you want under Recommended and click it.
-
Sign in via OAuth (Google or Microsoft). Grant the requested scopes. The tile moves into Added.
-
Attach the tool to an agent via Add tools in step 2 of the agent creator. See Add tools.
Useful patterns
- Inbox triage. An agent reads recent unread mail and groups it by sender, importance, or topic.
- Draft replies. The agent drafts a reply in your voice; you approve before sending. See Approving tool calls.
- Find a time. The agent reads two or more calendars (yours and a colleague's, when shared) and proposes meeting slots.
- Weekly digest. Use triggers to schedule an agent that emails you a calendar/meetings summary every Monday.
Permissions & safety
Productivity tools are some of the most powerful, and most dangerous, actions an agent can perform. Recommended posture:
- Send/write actions should always require approval. Configure in Personal settings » Tool permissions.
- Read-only triage is safe as Always allow for tools you trust.
- Revoke OAuth at the source (Google Account / Microsoft Entra ID) if you stop using the tool.
Tips & gotchas
Start with read-only flows for a week before letting an agent send mail on your behalf. You'll learn fast where it gets context right and where it doesn't.
Email is irreversible. Always set send-mail tools to require approval, even if you trust the agent. Mistaken sends to the wrong recipient or thread are the most common regret.
